Access
Ask what personal information we hold and how it is used.
This notice explains how Phillips & Pullen Ascend Ltd. handles personal information when you enquire about esports coaching, arrange a session, take part in a programme, or contact us by phone or email.
01 / Scope
This is the UK GDPR privacy notice for Phillips & Pullen Ascend Ltd. and its esports coaching enquiries and client services.
Phillips & Pullen Ascend Ltd. is the data controller for personal information submitted through this website, by email, by phone, or during coaching arrangements. The notice covers individual coaching, team work, performance analysis, strategy support, and youth programme enquiries.
Clarity matters. We only ask for details that help us respond, organise coaching, understand a player's goals, or meet legal and accounting duties.
We may collect your name, email address, phone number, preferred contact method, coaching goals, game title, availability, and information you choose to include in an enquiry.
For a young player, we may also receive a parent or guardian's contact details and consent information. Please avoid sending passwords, payment card numbers, or sensitive game-account credentials.
We use information to answer enquiries, assess whether a coaching service fits your needs, arrange sessions, provide performance feedback, manage team training, process agreed payments, and keep service records accurate.
We may also use it to meet tax, accounting, insurance, safeguarding, or other legal duties. We do not sell client information.
Depending on the situation, processing is based on steps requested before a contract, performance of a coaching contract, compliance with a legal obligation, or our legitimate interest in running and improving the service.
Where consent is needed, we will ask for it clearly. You can withdraw consent at any time, although this does not affect processing carried out before withdrawal.
Enquiry details are normally reviewed and removed when they are no longer needed for follow-up. Client, payment, and accounting records are kept for the period required by UK law or needed to deal with a complaint or legal claim.
We check stored information periodically and remove or anonymise records that no longer have a valid purpose.
Access is restricted to people who need the information for coaching or administration. We use appropriate passwords, device protections, limited access, and sensible retention controls.
No online service can promise absolute security. If we become aware of a personal data breach that creates a risk to you, we will assess it and take the required steps.
We may use trusted providers for email, website hosting, scheduling, payment processing, security, or basic website measurement. They receive only the information needed for their specific service and must handle it under appropriate terms.
Some providers may process data outside the UK. Where that happens, we use a lawful transfer mechanism and suitable safeguards required by UK data protection law.
Youth programme enquiries need extra care. We expect a parent or guardian to make arrangements or provide the consent required for a young person's coaching.
We collect only information needed for the programme, communication, safeguarding, and session delivery. If you believe a child has provided personal information inappropriately, contact us promptly.
Subject to legal limits, you can ask for access to your information, correction of inaccurate details, erasure, restriction of processing, or transfer of information in a usable format. You can also object to processing based on legitimate interests and withdraw consent where consent is the basis.
Keep control.
Ask what personal information we hold and how it is used.
Tell us when your details change or a record is inaccurate.
Request removal where there is no continuing lawful reason to keep information.
Ask us to stop certain processing when the law gives you that right.
